BetaNYC is New York City’s civic technology, open data, and civic design community. Starting as a meetup in 2009, it has since grown to be a non-profit organization that hosts events, facilitates policy change, demystifies big ideas, and empowers a new generation of civic hackers. In a strategic partnership with the Manhattan Borough President Gale A. Brewer, BetaNYC is evolving a technology and design lab to support for the City’s community boards.
For the next six months, we have quite a few events to plan, organize, and host. We are seeking an energetic special events coordinator, kick ass project manager, and a can-do civic hacker.
From December to May 2019, we need assistance to organize our engagements with NYC Schools' CS for All Hack League, NYC's Open Data Week and School of Data events, help us execute our classes/workshops, and help orchestrate magic.
You should be an effective communicator, meticulous organizer, energetic planner, and passionate hacker who can work diligently as part of a small diverse team and ensure coordination across the projects.
We operate on open source principles: you should know how to communicate, collaborate, and think about our work as a collective effort.
Special Events Project Manager for the following events:
Computer Science for All’s Hack League
BetaNYC community training workshops
NYC’s School of Data 2019
NYC’s Open Data Week 2019
Services: The appointment as Special Events Project Manager will provide project management by coordinating internal resources and third parties for the successful execution of Department of Education’s Computer Science for All Hack League campaign as well as BetaNYC’s special events including delivery of popular education workshops in all 5 boroughs, events associated with NYC’s Open Data Week 2019 and BetaNYC’s 2019 School of Data.
Project Management of Hack League Events
Expansion of BetaNYC Workshops to Community Boards in all five boroughs, reach of at least 30 community boards (50%)
Reach over 1,000 high school students through DOE partnerships
Launch of non-English training curriculum
Assist in planning of NYC School of Data
Coordinate BetaNYC’s involvement with in NYC Open Data Week
Project Management Includes:
Create detailed project plan to monitor and track progress.
Coordinate and prepare project related meetings and materials
Identify, recruit and develop event volunteers, partners, sponsors, and subject matter experts.
Advise in event promotion, media, and attendance strategies.
Operational direction of all events
Expected Project Activities:
Project management of BetaNYC’s relevant contract deliverables.
Hackathon Borough-wide Event Coordination — coordinating BetaNYC’s presence at all five of the borough-wide events between January and March- including management of BetaNYC volunteers.
City-wide Event coordination-including management of BetaNYC volunteers
Coordinate scheduling and delivery of BetaNYC popular education workshops in all 5 boroughs, including securing locations and dates
Assist Executive Director with BetaNYC’s presence at NYC Open Data Week events (March 2-9 2019)
Lead the operations for 2019 School of Data, BetaNYC’s annual conference
Administrative support as needed
Written guidance for event materials and actions; Written guidance on event hosting;
Consolidation of Materials into agreed upon format/drive
Active use of google docs and trello/github for issue/project tracking
Weekly project meetings and daily operational scrums/check in meetings.
Attend post-event debriefs with partners, community stakeholders, and BetaNYC staff.
As needed, follow up consultation meetings or phone calls to ensure event is fully documented.
Term: Initial appointment will run from December 1, 2018 to June 30, 2019. Depending on performance, appointment could be extended.
